Collecting, Using, and Sharing Your Information

YouDecide does not receive financial incentives for collecting your information. YouDecide uses any information we collect to respond to your requests or to monitor and improve our website. We do not share or sell your information.

Information You Provide to Us

All information you provide to us is voluntary and is gathered via our “Contact Us” page (for general inquiries), or our “Request Demo” page (for requesting a demonstration of our platform site). If you choose to enter your contact information and a message on either of these webpages, here is what you can expect:

  • The categories of information collected include name (first/last), email address, phone number, company affiliation, a contact type indicator (employer, merchant, other), and your message.
  • We will use the information you provide for the sole purpose of contacting you to resolve any questions you may have or to schedule a demo. The information is not shared beyond YouDecide’s workers and affiliates.
  • We will retain the information you provided us as long as it is still needed, e.g., as long as you remain a contact we need to follow-up with. Annually, we delete or de-identify the personal information of all inactive contacts.

If you contact us via email, U.S. mail, or fax, we will use, share, and store the information in the same way as described above.

If you call YouDecide or speak to a support representative by phone, the call may be recorded for quality or training purposes. All recordings are deleted after 12 months.

Information We Collect via Automated Technologies

Cookies and other tracking technologies may be used by YouDecide to analyze trends, administer the website, track users' movements around the website, and gather usage statistics. We do NOT use cookie and tracking information to provide you with targeted ads or to do behavioral profiling for marketing purposes. We gather non-personally identifiable information such as internet protocol (IP) addresses, browser type, operating system, date/time stamp, page visited, and/or other data. We use this information to:

  • monitor our web traffic, analyze response times, and help fine-tune our website’s performance.
  • gather anonymous site usage statistics.
  • understand how to interact with your equipment (browser and operating system) so that the website can display correctly to you.

At this time, the only cookies we use are those classified as “strictly necessary” (required for the website to display correctly) and those involved with the website analytics. Usage statistics are aggregated, not personally identifiable, and not shared outside of YouDecide and our hosting partner.

You can control the use of cookies and tracking information via the “Manage Cookies” option accessible via the footer on the website. If you set your browser to “Do Not Track,” it will not adversely impact the use of the YouDecide corporate website.

How We Share or Disclose Your Information

YouDecide does not sell your information and does not share your information with any external entities. The information is used internally at YouDecide for marketing and operations purposes only.

YouDecide is legally required to share your information under these circumstances without your permission:

  • to respond to legal actions, such as a subpoena or court order.
  • to comply with state or federal laws.
  • to assist law enforcement in preventing fraud or investigating a crime such as a cyberattack on the website.

Website Hosting

Our corporate website is hosted by HubSpot, a third-party service provider; however, the content is supplied by YouDecide. The data stored by HubSpot is encrypted at all times – at rest and in transit.

Other Services Providers

YouDecide enlists the services of third-party business partners to assist us in carrying out our mission. Among these are website hosting, VoIP services, and data security consultants. We have agreements with each of these entities in which they are required to maintain the confidentiality and security of the data they handle on our behalf. Each is also required to implement physical, technical, and administrative safeguards to protect personally identifiable data and to alert YouDecide of any security incidents or data breaches involving YouDecide’s data.


Exercising Your Rights & Choices

This section explains how you can exercise your rights concerning your personal information. YouDecide will not discriminate or retaliate against you for exercising these rights. Many of these are the rights granted to California residents under the CCPA. The particular rights in your state may vary from this.

How to correct any incorrect information

If you believe information we have about you is incorrect, please contact us. If the information is within our control to correct, we will respond to you and/or make the change effective within 10 days.

How to delete your information

  • Information gathered via the “Contact Us” or “Request a Demo” pages is typically de-identified or deleted after 12 months if it is no longer needed. If you want us to remove your information sooner, contact us and we will be happy to do so. The deletion will take place within 10 days.
  • If we are unable to delete your information for any reason, we will remove all personally identifying information so the data cannot be linked back to you.

Access information we have about you and who we shared it with

  • Your ability to obtain this information free of charge may be limited to twice in any 12-month period, or have other limitations depending on your state of residence. YouDecide’s ability to provide this information to you may be limited to only the 12-month period prior to the date of your request or less if the data has already been de-identified or deleted.
  • To request a copy of the information we have about you, contact us. We will respond to your request within 45 days of its receipt. If we cannot respond within that time, we will inform you of the need for an extension within that time.
  • In our reply, we will list the data elements we have on you, and any disclosures you asked us to make, such as when we communicated with an authorized person on your behalf (if applicable).

Have an authorized person act on your behalf

  • If you have given another person power of attorney or if you have a legal guardian, that person can exercise your rights and make choices about your information. We will need to make sure that person has this authority to act for you before we take any action. The authorized person may contact the YouDecide Privacy Officer via one of the contact methods.
  • Unless we have this authorized person’s information on file, YouDecide cannot share your personal information. We take your privacy seriously and will not speak to family, friends, or co-workers who contact us unless they have been designated as an authorized person for you.

Your Privacy is Important

We value your privacy and guard your personal information as if it were our own. We believe we have an ethical responsibility to protect it, not just a legal responsibility. We protect information provided to us via the YouDecide website in the same way we protect information provided to us over the phone or any other way (e.g., fax, email, etc.).

Our responsibilities include the following:

  • We will notify you if a breach or unauthorized disclosure of your information occurs.

Our Data Security & Privacy Measures

YouDecide uses state-of-the-art tools and methods, including encryption, to protect your information at all times - when collected, stored, transmitted, or displayed. While no security mechanism can be 100% guaranteed, we provide a secure website (utilizing SSL and TLS protocols) that encrypts your data over the Internet. All transmissions containing personal information are encrypted. Within YouDecide’s network, your personal information can only be accessed by authorized individuals. Firewalls and authentication rules enforce this access. We also enforce two-factor authentication over a secure VPN when accessing data remotely. Our staff is trained on privacy and security safeguards and understands the consequences if these are violated. All system interactions are monitored, logged, and reviewed, and we have automated alerts to warn us of unusual activity. We have audits performed by independent parties to verify our safeguards are working appropriately to protect our network and your data. These are just a few of the many examples of the security measures we take.

Accessibility Compliance

YouDecide strives to make its platforms compliant with current website accessibility standards, including the Web Content Accessibility Guidelines (WCAG) 2.1 and Section 508, in accordance with the Americans with Disabilities Act. International Data Processing

All of YouDecide’s data is stored and processed within the confines of the United States of America (USA). If you access the YouDecide corporate website from outside the USA, be aware that the country in which you are located may have different data protection laws. If you are in the EU or UK, YouDecide relies on the safeguards set forth in Articles 46 and 49 of the GDPR to transfer your data across international borders. YouDecide does not target or market to audiences in the EU or UK.

Changes to this Privacy Policy

We make changes to our privacy practices from time to time and will update this Privacy Policy accordingly. The changes will apply to all information we have about you. Each time you visit our website, check to see if there is an updated Privacy Policy available. The effective date of the policy is shown at the top of this notice.

Notification of Data Breach

We have a responsibility to notify you if your personal information was involved in an inappropriate disclosure (disclosure to an unauthorized person) or was involved in a data breach. If an inappropriate disclosure or breach were to occur involving your personal information, YouDecide would notify you as promptly as possible after the discovery of the incident.
